Privacy Policy

Last updated: 29 September 2026

Elements Studio - Folkestone is operated by Fourmy Studio Ltd (company number 17304149). In this policy, “we”, “us” and “our” mean Fourmy Studio Ltd. We are responsible for deciding how we use personal information about people who visit our website, contact us, book or attend our classes and events, or otherwise deal with the studio.

You can contact us about this policy or your personal information at info@elements-folkestone.co.uk, or by writing to Elements Studio - Folkestone, Unit 65–66, Shearway Business Park, Shearway Road, Folkestone CT19 4RH.

This policy covers our website at elements-folkestone.co.uk, enquiries and studio activities, including bookings made through TeamUp. When you follow a timetable or course link to TeamUp, you leave our Wix website and use TeamUp’s separate booking service. Its own cookies and privacy policy also apply to your use of that service. Your cookie choices on our Wix website do not automatically carry over to TeamUp.

Information we collect

Depending on how you interact with us, we may collect:

  • Contact and enquiry details: your name, email address, telephone number and the information you put in a contact form, email, message or call.

  • Booking and membership details: the classes, courses, workshops or other services you book, dates of attendance, membership or purchase history, communications about your bookings and payment status. TeamUp and its payment providers handle the payment process; we do not ask you to enter your full card number on our Wix website.

  • Safety information: if you give it to us, information about an injury, health condition, accessibility need or other matter relevant to taking part safely, along with an emergency contact where requested. Please give us only the information we need for this purpose and keep it up to date.

  • Information about a young participant: if a parent or guardian makes an eligible booking, the young person’s name, relevant booking and safety details, and the parent or guardian’s contact information.

  • Website information: your device and browser details, approximate location, pages visited, interactions, referral information, cookie choices and similar technical information, depending on the tools and permissions described below.

We usually receive information from you or, for an eligible young participant, their parent or guardian. We may also receive booking details through TeamUp and, where relevant, information from an instructor about a class or incident. If you were a member of The Hub Aerial Fitness Studio, limited member contact details and associated business records may have been passed to us as part of the business transition, so we can manage continuity and explain the new studio arrangements. The purchase agreement excluded members’ payment details, bank details and direct debit arrangements.

You can browse our website without giving us your name. We need certain contact and booking details to answer an enquiry or provide a booked service; if you do not provide them, we may be unable to respond or complete the booking. We ask for relevant safety information only where it is needed to assess or support participation in an activity.

Why we use your information

We use personal information for the following purposes and legal reasons under UK data protection law:

  • To answer enquiries and arrange services. This is necessary to take steps at your request before a contract, or for our legitimate interest in responding to enquiries about the studio.

  • To provide and administer classes, courses, memberships, private sessions and events. This includes bookings, attendance, customer service, changes and essential service messages. We use this information to perform our contract with you, or to take steps before entering one.

  • To help people participate safely. We use relevant safety and emergency information to plan suitable participation, brief the instructor where needed and respond to an incident. Our ordinary personal-data basis is our legitimate interest in running safe classes, or our contract with you where the information is needed to provide the service. Health information has additional legal protection; where we ask you to provide it, we rely on your explicit consent to process it for this purpose. You may withdraw that consent by contacting us, but we may then need to discuss whether we can safely provide a particular activity. In a genuine emergency, we may use or share necessary information to protect someone’s vital interests.

  • To run and protect our business. We keep appropriate records, deal with complaints, prevent misuse, maintain our website and systems, and establish or defend legal claims. Depending on the activity, we rely on our legitimate interests or a legal obligation.

  • To meet tax and accounting duties. We keep the financial records required by law.

  • To understand and improve our website. We use optional analytics and behaviour tools as described in the cookies section when you allow them through the website’s consent controls.

  • To send optional news and offers. We do this where you have signed up, or where the law permits messages about our own similar services to existing customers who had a clear opportunity to opt out when their details were collected. Every marketing email will offer an unsubscribe option. Booking confirmations and important service messages are separate from marketing.

We do not treat a booking, health disclosure or acceptance of website cookies as permission to use an identifiable photograph or video of you for promotion. We seek separate permission before doing that. We do not sell your personal information.

Website, cookies and analytics

Our website is built and hosted on Wix. It uses cookies and similar technologies that are needed to display the site, keep it secure and remember your privacy choice. We use Usercentrics for Wix to present the cookie banner and record your choices. You can accept or reject optional categories and revisit your choices using the cookie settings or privacy control on our website.

If you allow analytics, Google Analytics 4 helps us understand visits and how people use the site. Microsoft Clarity provides heatmaps and recordings of website interactions so we can identify confusing pages and improve them. We do not use Clarity for recording payment details or information entered into health or booking forms; those booking pages are on TeamUp’s separate service. Google Tag Manager helps us manage website tags and apply the relevant settings. Your choice to reject optional analytics should not stop you browsing our site or following a link to a course.

We also use Google Search Console and Bing Webmaster Tools to understand how our pages appear in search results and to identify indexing problems. These search-management accounts do not, by themselves, install an additional tracking cookie on your device.

The cookie banner provides information about the categories in use. You can also contact us if you want more detail about a particular website tool or your choices. TeamUp sets and manages its own cookies when you use its pages; see its privacy information and controls there.

Who we share information with

We share only what is needed for the relevant purpose, including with:

  • TeamUp and its payment partners, to operate accounts, bookings, memberships and payments;

  • Wix, to host and operate our website and handle information submitted through it;

  • Usercentrics, Google and Microsoft, for consent management, analytics, search reporting and website improvement as described above;

  • our instructors and authorised helpers, who receive the booking or safety information they need for their role;

  • professional advisers, insurers, payment and accounting providers, and public authorities, where needed to run the business, handle a claim or meet a legal obligation.

We limit access to personal information according to people’s responsibilities. A link to another website does not give that website permission to use information we hold; the information you enter there is handled under its own terms and privacy information as well as any services it provides to us.

International processing and security

Some of our service providers operate internationally, so information may be processed outside the UK. Where a transfer is restricted under UK data protection law, we use an applicable UK adequacy arrangement or appropriate contractual safeguards. You can contact us for more information about the arrangements relevant to your information.

We take reasonable steps to protect personal information and restrict access to those who need it. No website or online service can be guaranteed completely secure.

How long we keep information

We keep information only for as long as it is needed for the purpose described above, then delete or anonymise it unless a legal obligation or a relevant claim requires longer. The period depends on the record:

  • Enquiries that do not lead to a booking are kept only while we need to deal with and follow up the enquiry.

  • Booking, membership and attendance records are kept while your relationship with us continues and for a reasonable period afterwards to deal with queries, disputes or legal claims.

  • Safety information is reviewed for continued relevance and is not kept longer than needed for safe participation, an incident or a legal claim.

  • Accounting records are generally kept for six years from the end of the company financial year to which they relate, or longer where the law requires.

  • Marketing contact details are used until you unsubscribe or we stop the relevant activity; we may retain a minimal suppression record so we do not accidentally contact you again.

  • Website analytics, recordings and consent records follow the settings and retention periods of the relevant tools, which we review. Microsoft states that Clarity recording playback data is retained for 30 days.

You can ask us about the retention of a particular record using the contact details above.

Your rights and choices

Depending on the circumstances, you may have the right to access your personal information, have it corrected or deleted, restrict its use, and receive a portable copy. You can object at any time to direct marketing and to our use of your information based on legitimate interests. Where we rely on consent, you can withdraw it at any time; this will not affect earlier lawful use. You can unsubscribe from marketing using the link in an email, change your website cookie choices through the site’s cookie settings, or contact us directly. We do not make decisions about your participation solely by automated means that have legal or similarly significant effects.

To make a request, email info@elements-folkestone.co.uk. We may ask for information needed to confirm your identity. If you are unhappy with how we handle your information, please contact us first so we can look into it. You also have the right to complain to the Information Commissioner’s Office.

Changes to this policy

We may update this policy if our services, website tools or legal requirements change. The date at the top shows when it was last updated. We will provide additional notice if a change materially affects how we use your information.
